Before capture day
Confirm the included areas, access times and a responsible site contact.
Remove personal, confidential, valuable or commercially sensitive material from visible areas.
Tell staff, occupants and security teams when capture will take place.
Identify restricted rooms, safety requirements and areas requiring permits or escort.

Lighting and presentation
Replace failed bulbs and use a consistent lighting approach across connected spaces.
Open curtains or blinds where the exterior view is part of the presentation.
Clean mirrors, glass and reflective surfaces; these may reveal equipment or people.
Switch off or pause screens, projectors and LED displays that may flicker during capture.

Hotels, venues and public spaces
Set rooms, ballrooms and pre-function areas in the arrangement the buyer should understand.
Remove service carts, bins, temporary signage and stored equipment from the capture route.
Align furniture, table settings and branding consistently.
Keep guest and public movement away from the active capture zone where possible.

Matterport and 360 capture
Open doors that form part of the intended route and close doors to excluded areas.
Keep furniture, doors and objects in consistent positions while connected scans are recorded.
Stop fans, moving displays and other objects that can create capture artefacts.
Agree how outdoor areas, balconies and bright windows will be handled before the session.

Final site check
Walk the complete capture route with Novo before work starts.
Confirm that approved branding is visible and confidential information is not.
Check washrooms, back-of-house transitions and overlooked connecting areas.
Record any unavoidable temporary condition so it can be understood during review.
IMPORTANT
Matterport and other capture systems record what is visible. Items that cannot be removed or concealed may remain visible in the delivered experience. Confirm privacy-sensitive areas before capture begins.
